GETTING THERE

Flights

We recommend that you book your flights to Bali Airport (Ngurah Rai) Denpasar as early as possible, for your convenience. Be sure to arrive in time for Open House by The House of Beyond, the Further East un-conference, which begins at lunchtime on Monday 7 November. Departures will begin from the morning of Friday 11 November.

 

Visa Information
Please check if your country is one the countries where you can pay for a visa on arrival. If your country is not listed then you need to apply for a Visa with an Indonesian Embassy or consulate abroad (outside of Indonesia).

Further East is not responsible for arranging any visas. Please check with your embassy ahead of booking your flights.

PASSPORT
Your passport should be valid for a minimum period of 6 months from the date of your departure from Indonesia.

Further East highly recommends that if you passport expires before the end of June 2023 to renew it at least three weeks before you travel.

Travel Insurance
We recommend that you obtain comprehensive travel and medical insurance before travelling. Remember to check for exclusions, and to make sure that your policy covers you for all the activities you wish to undertake during your trip.

Taxis and Transfers
Fly into Bali Airport (Ngurah Rai) Denpasar and take a taxi to your hotel. There will not be any Further East airport transfers. A taxi to Seminyak will cost approximately IDR 250,000, and will take 40 minutes without traffic.

Please ensure that if you take a taxi, you take an official airport taxi, such as BlueBird.

Alternatively, please contact Asia Concierge if you would like to arrange a transfer to your hotel ahead of time.

Official hotel and venue partner, Alila Seminyak will be totally privatised for Further East delegates, playing host to the marketplace and over half the hosted buyers and international media attending, making it the epicentre of the Further East universe.

We have a very limited allocation of rooms available at Alila Seminyak for Exhibitors to be just footsteps away from the action.

Staying at the heart of our Further East market place means luxurious room categories, more time for networking opportunities and access to very special rates. The Alila Seminyak is the most convenient and business savvy place to call home during the show.

Please note that, due to the privatisation of the Alila for our event, anyone staying at Alila Seminyak during the show must be an officially registered delegate of Further East. Anyone not registered will have very limited access to the hotel facilities and areas.

GETTING IN

Further East, including Open House, is an invitation-only private event; it is in the best interest of all parties that no unregistered individuals are granted access to the premises of the event or to social functions. The organisers reserve the right to exclude or remove anyone from Further East, Alila Seminyak, Potato Head Beach Club or any evening events, who does not comply with these policies, or who they reasonably consider likely to break these rules. Delegates bringing guests with them will not be granted access to the show.

Please check in at Alila Seminyak to collect your delegate badge and security wristband to gain access to Further East and Open House at Desa Potato Head.

DELEGATE BADGE
For security reasons, all delegates must wear their delegate badge in full view during the hours of the show. All delegates must also carry photo ID so that they are visible to the organisers if and when identification is required.

PLEASE NOTE:
Badge holders must not allow their badges to be worn by anyone else.
Failure to adhere to this policy may lead to the badge holder being denied access for the remainder of the event. It might also prevent the exhibiting company from participating in future events.

PLEASE NOTE:
No advertising sales staff will be permitted entry to Further East or Open House.

PLEASE NOTE:
No person under the age of 18 will be admitted to Further East or Open House during the show. Student groups will not be accepted.

PLEASE NOTE:
Only delegates of Further East will be granted access to the show. Guests of delegates are not allowed entry.

 

SECURITY WRISTBAND 

All delegates must wear their Further East wristband at all times throughout the week, including during all evening events. Anyone not registered or not wearing their wristband will be denied access to Further East, including lunches, all evening events and Open House.

Any security bracelet replacement will be charged on-site in cash at the price of IDR 700,000, only upon presentation of a photo ID (passport, ID card, driving license, not a business card) and after verification that the delegate is pre-registered.

APPOINTMENT SYSTEM

Further East’s advanced pre-scheduled appointment system ensures that you’ll have up to 42 x 20 minute meetings with the world’s leading high-end buyers and Asian suppliers while you’re at the show. In addition, you’ll have networking opportunities galore at our official lunches, coffee breaks, media meet-ups, and fabulous evening parties.

How’s that for effective time management?

PHASE 1

CREATING YOUR ONLINE PROFILE
(Closes 29 JULY 2022)

Further East is the place to be if you mean business in the high-end travel industry in Asia. Every company we personally invite is full of creative flair and enthusiasm, so it’s important to dedicate time to making sure your profile reflects your brand – after all, the delegates you want to meet will base their appointment preferences on the information you provide.

In Phase 1 of the appointment system, you will be asked a number of questions regarding your business, the services and products you offer, and the regions you operate in. Your online profile will be directly based on the answers you give, so make sure you provide the most accurate information that shows your business in the best possible light.

This information will not be visible to your competitors.

PHASE 2

CHOOSING YOUR APPOINTMENT PREFERENCES
(24 AUGUST – 21 SEPTEMBER 2022)

In Phase 2, you will have the chance to view all the delegates attending Further East and choose who you would like to have meetings with at the show. We recommend that you utilise the full 65 preferences available to increase your chance of having a full diary of appointments (max. 42 appointments).

The higher up the delegate is on your list, the more likely you are to meet with them. If you both choose to meet each other (which you will be able to see), your chances of having an appointment will be higher.

TOP TIP!
While selecting your appointments, please refer to the “Attendees who have chosen me as a preference” list, as these are the delegates who are interested in meeting you, and are a good starting point when you’re making your selections. Mutual matches are prioritised, so it is important to include as many attendees who have selected you in your own preference selections. However, please note that if you include more than 50 mutual matches in your preferences, this will mean non-mutual matches are unlikely to be confirmed in your diary.

DID YOU KNOW?
This phase also gives you the option of excluding a limited number of attendees, meaning that you will not have a meeting scheduled with them.

This is confidential, so any attendees you choose to exclude will not be informed. The main purpose of the exclusions function is for you to exclude those well-known attendees who you already work with regularly, therefore reserving your meeting slots for new contacts and leaving your networking breaks to catch up with existing suppliers.

NEXT, WE’LL DO THE MATCHMAKING

(23 SEPTEMBER – 6 OCTOBER 2022)

The Further East appointment system will then generate client matches based on your meeting preferences. Once the process is complete, you will receive a notification to inform you that your own personalised meeting schedule is ready to view.

PHASE 3 – ONLINE DIARY GOES LIVE

(4 OCTOBER 2022 onwards)

During the final stage, you can view all your pre-scheduled appointments and fill up any empty appointment slots in your schedule

You will no longer have access to the full delegate list, but you will be able to access the profiles of those with whom you have pre-scheduled appointments, along with those who are available during any empty meeting slots you may have. You can then send requests for extra meetings, via the appointment system, to available delegates to fill any empty slots in your schedule.

After you send your requests, the relevant delegates will receive an email notification from the appointment system that informs them of your request. At this point, they will have the opportunity to accept or decline your request. You can send several requests to different delegates for each of your empty slots; however, the first delegate to accept your meeting request will be the one that is confirmed in your diary.

Remember: all schedules will remain open until the end of Further East, so keep logging on regularly as you can keep adding new appointments to your schedule right up until the time of your final appointment slot, on Thursday 10 November.

MISSED APPOINTMENTS

The team at Further East takes the issue of missed appointments very seriously. Unless you provide a sufficient and relevant explanation for your absence, even missing one appointment could compromise your opportunity to participate in Further East, or any future This is Beyond events.

All missed appointments will be recorded and monitored tightly, so we kindly ask you to report every missed appointment. In the unlikely event that someone does not attend their pre-scheduled appointment with you, please make a log of your missed appointments. 

NEED TO KNOWS

That’s almost everything covered – but below you’ll find some extra advice that’s worth knowing. Remember: if you have any questions, the Further East team is always on hand to help!

WEATHER IN BALI IN NOVEMBER

November in Bali is normally characterised by on-and-off rain. While there have been some years when Bali hasn’t seen its first real rainstorm until early January, it’s best to bring an umbrella just in case.

Humidity levels reach about 80% throughout November, so come suitably prepared for some serious heat: a water bottle, sunscreen and loose, breathable layers are non-negotiables.

WHAT TO WEAR

Further East will be like nothing else you’ve ever experienced before – right down to the dress code. Here’s what to pack for four days of immersive business (and beyond).

Ditch the tie…
We do business on the beach, not the boardroom. We believe meaningful connections are made in off-the-cuff moments – reflected in our relaxed dress code.

…and keep your cool
Bali in November is famously hot and humid. Natural fabrics are your friend: think linen, cotton and silk, worn in loose layers for effortless cool. And don’t forget your flip-flops, for walking on the beach to our beautiful lunch venues.

At Open House, come on in
Our 1-day un-conference is all about inspiring ‘A New Dawn of Thinking’. Soak up the tropical surroundings of Potato Head Beach Club with bold prints and bright, beautiful colours. No shoes? No problem.

Redefine glamour at our evening parties
The official Opening Party hosted by The Legian Seminyak, Bali and official Closing Party hosted by W Hotels at W Bali – Seminyak are renowned for their spectacular settings and fun vibes. Dress to impress in a sophisticated white outfit for our Opening Party and get into a beachside groove with a tropical chic outfit for the Closing Party.

Wi-Fi will be provided free of charge to all participants.

 

 

VALUABLES

Although Further East is an invitation-only event, we strongly recommend that you do not leave valuable items of a portable nature unattended at any time.

Please ensure that any incident involving loss of property is reported to the local police as soon as possible. Failure to do so could result in insurance companies refusing to meet any subsequent claim.

Please note that all valuable documents and personal items should be left at all times in the safety of your hotel rooms from the moment you check into your hotel.
It is your responsibility to make sure that all your valuables are safe for the entire duration of your stay in Seminyak. Further East will not accept responsibility for the loss of or damage to your personal belongings.

IMPORTANT:
Please note that the closing evening, Thursday 10 November, will be a particularly busy time as this is when the stands will be dismantled. We advise you not to leave valuable items unattended at any time. If you require secure storage at any point during the show please contact the organiser’s office.

SECURITY

Local authority regulations state that bag searches will be in force upon entering each venue. Every reasonable precaution will be taken to ensure the safety and security of personnel and equipment. The premises will also be patrolled day and night. However, we cannot accept any responsibility whatsoever for any injury, loss or damage, or consequential losses that may befall your personnel and property.

FIRST AID

Should you need medical assistance, a doctor and ambulance will be on standby in the Lobby during the show. Should anyone need a doctor outside of event hours, the Duty Manager/Hotel staff will be able to assist.

SAFETY

Further East advises against walking along the beach during the hours of darkness and in the case of adverse weather. All venues are easily accessible via the road if necessary.

 

 

COVID-19 

It’s your responsibility to follow any Covid-19 entry requirements issued by the government of Indonesia. Make sure you check that you can be granted entry to Bali at your nearest Indonesian consulate or embassy. Allow a long lead-time – we recommend at least 40 days. Covid-19 testing will be available on site for the duration of the show.

EXHIBITOR GUIDE

The Further East booth design brings together the best of Asian elements and contemporary design into one piece. Your exhibiting space is a temple: over the 3 days it will become your spiritual meeting place to connect with like-minded individuals.

We have designed our exhibiting packages so that you can hit the ground running when you arrive. Simply send us your graphics in advance and we will build your booth for you..

All graphics must be submitted and approved by Friday 26 August.

EXHIBITOR NEED TO KNOWS

For the purpose of providing a more harmonious show for all members, Further East does not authorise custom-made stands.

Further East is very attentive to the overall look of our show floor, and we therefore ask that exhibitors present themselves in a way that is both beneficial to the promotion of their product and of the event. With this in mind, we kindly ask you to adhere to the following rules:

  • No pop-up or paper posters, tablecloths, ornaments or suchlike will be allowed on or around stands; if you are unsure about what you can display on your stand, please contact Sophia Asghar.
  • No presentations/demonstrations should obstruct the aisles, and/or exceed “reasonable volume”, which will be a nuisance to neighbouring stands. If this rule is infringed, we reserve the right to restrict the number of or cancel such presentations/demonstrations.

BUSINESS CARDS? CHECK. LAPTOP OR IPAD? CHECK.
There is nothing else you need to bring with you to Further East for a successful 4 days. However, if you do need something delivered to the event, we recommend you contact DHL directly and have any materials shipped to your hotel. Further East cannot accept any responsibility for the delivery of your shipment.

FIRE REGULATIONS
All displays are subject to inspection by the Director of Engineering. Further East has therefore laid down the following regulations concerning exhibitor stands:

  • No highly combustible material such as hessian, straw paper, polystyrene etc. shall be used in/on the stand without approval from the organiser. If the organiser does approve the use of a combustible material, you shall also be required to provide a Fire Retardant Certificate, indicating that the product has been treated with a fire- retardant compound.
  • No solid ceiling may be erected without the approval of the organiser. No exhibitor shall, in any way, exceed the boundary of his stand, unless arrangements have been made in writing and approved by the organiser.
  • Written permission will be required for the storage or use of hazardous substances, such as flammable liquids, gas cylinders, open fires and demonstrations with naked flames.
  • No structure or display shall be placed or constructed so as to impede the ordinary movement of people, nor shall the existing facilities or signs be obstructed by any structure or display.
  • Fire extinguishers on walls, floors or elsewhere may not be moved or obstructed.
  • All aisles and exhibits must be kept clear at all times.
  • Absolutely no storage of any kind will be permitted within the confines of the show floor, placed behind the stand, or against the walls or curtains.
  • Material draping and curtains will not allowed on the show floor.

SAFETY
Exhibitors will be responsible for fire safety and compliance with fire safety regulations of the stands during the show. Compliance with the present rules will be supervised by the technical personnel of Beyond Exhibit, the body managing the show floor and the state fire protection authorities. For fire safety and safety of stand construction, electrical equipment and admittance, please contact Simon Whiting (simon@beyondexhibit.com) or Erwan Bontonneau (erwan@beyondexhibit.com).

CARE OF BUILDING
No attachment, fitting or detachment can be made to the interior or exterior walls, floor, ceilings or pillars of the building without prior knowledge and written consent from both Alila Seminyak and Further East’s management. This includes any equipment or device that would be fixed to or suspended from any structure of the building. This includes attachments that would damage any surface or structure in any part of the building.

DILAPIDATION INSPECTION
Exhibitors will be held responsible for any defacement or damage caused to the building by themselves during the show. Any charges levied by Alila Seminyak will be payable by the exhibitor, not the organiser.

ELECTRICAL
Only Beyond Exhibit will be authorised to make electrical connections. Beyond Exhibit will have the exclusive right to electrical connections for stands.

CONSTRUCTION & RIGGING
No construction, sawing or painting will be allowed on site.

GAS INSTALLATION
Installations operating with butane or propane gas are formally prohibited – as is the use of flame-generating machines, both during build-up and dismantling of the exhibitor stands.

DISMANTLING
Exhibitors are not permitted to remove promotional materials or boxes from storage areas until 15 minutes after the official closing of Further East, at 6 PM on Thursday 12 November 2020. Please do not remove your graphics.

PLEASE NOTE:
All products and displays must be removed by 7 PM on Thursday 10 November 2022, as all stands will be dismantled after this time. It is very important that you remove all of your belongings by this time – failure to do so may force Further East to hire a contractor to remove and store your belongings at your own expense.
